Contract Administrative Assistant

Summit Design and Engineering is continuing to grow, and we are seeking a full-time Contract Administrative Assistant to support our Contracts group. Our preference is for this position to report to either our Raleigh or Hillsborough office but would consider allowing this position to work from one of our other offices if able to come to the Hillsborough office as needed.

Responsibilities:

  • Draft and review contract documents to including, but not limited to AIA contract documents, MSA's, Sub-consultant Agreements, Teaming Agreements, Non-disclosure agreements
  • Coordinate with Legal to review contract Terms and Conditions
  • Pre-qualify subconsultants
  • Review and assist in updating template contract documents and ensure contracts are accurate and up-to-date
  • Coordinate the execution of contract documents; upload fully executed contracts to the company database and return a fully executed copy to the counterpart for their records.
  • Work with Legal, Accounting, Billing, and Business Development in support of contract documents
  • Coordinate with managers to ensure contract requirements are fulfilled.
  • Manage insurance requirements for all contracts
  • Support training and communication of contracting procedures and practices
  • Create weekly win report
  • Maintain all company contracts; electronic filing, expiration dates, master service agreements
  • Perform other duties as assigned or required.

Skills and Qualifications:

  • High School diploma with 3+ year of administrative experience, any contract experience a plus; Associates or 4-year degree in Business or similar field can be considered in lieu of experience
  • Knowledge of relevant contractual procedures and practices and understanding of contract terms and conditions preferred.
  • Excellent written and oral communication skills
  • Strong attention to detail
  • Ability to work independently and as part of a team
  • Strong organizational, problem solving and time management skills
  • Ability to deliver excellent customer service to internal and external clients
  • Ability to work on multiple projects/contracts
  • Intermediate proficiency with Word, Excel, SharePoint, Adobe Acrobat, & DocuSign
