Office Administrator

Summit Design and Engineering Services is seeking an experienced Office Administrator for an open position within our growing Colorado office. An ideal candidate for this position would possess excellent communication and problem-solving skills, be detail oriented and highly self-motivated. This candidate must display previous experience working within a professional office setting, performing a diverse variety of administrative tasks, as well as providing support to a team of coworkers. The ability to work within a team, multi-task, manage complex schedules, and meet changing deadlines is essential to this position.


Core Responsibilities:

  • Coordinate with the CO branch staff to support daily project operations
  • Liaise with corporate HQ departments (HR, IT, accounting, finance, contracts, marketing, etc.)
  • Liaise with other Summit professional services disciplines in other branch office
  • Provide direct administrative support to the CO branch staff
  • Maintain branch records and project file management
  • Processing & reporting of project setup, billing, financials, expenses, vehicle logs and other data
  • Initiate contact with visitors, vendors, subconsultants and staff from other branches
  • Coordinate & order office supplies and food deliveries/provisions for meetings and guests
  • Maintain & manage the CO branch calendar
  • Manage incoming/outgoing mail and shipments
  • Create, edit and transmit correspondence as requested
  • Graphic design of proposal, resume and other collateral presentation documents
  • Manage inventory control of office equipment & peripherals
  • Maintain an organized, clean office environment
  • Facilitate CO branch staff travel arrangements

Project Responsibilities:

  • Create worksheets / checklists, notes (mtg & other), spreadsheets and/or any other administrative documents to directly support billable project activities
  • Jurisdictional research including; mapping, zoning, property reports, code data & assessor info
  • Construction administration file management
  • Internal project scheduling

Prerequisites & Skills:

  • High School diploma
  • Minimum of five years of relevant professional experience
  • Displayed administrative experience
  • Excellent verbal and written communication skills
  • Advanced proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint)
  • Focused, detail oriented and self-motivated
  • Strong personal and work ethic
  • Able to multi-task and prioritize work requirements
  • Ability to perform with minimum supervision, take personal initiative as well as accept direction and critique of work products
  • Valid driver's license with good driving record & ability to pass company safe driving examination.

Preferred Skills and Qualifications:

  • Bachelor's or Associates degree
  • AE/C firm experience
  • Fluency in Adobe InDesign, QuickBooks and/or Procore

Salary Range: $45,000 to $55,000 per annum* and commensurate with relevant professional experience & credentials.

*Position is hourly, (FLSA nonexempt) with paid overtime at 1.5 times the hourly rate.
